Typical project materials
Connect process descriptions, data sheets and operations documentation, preserving equipment tags, specialist definitions and version relationships.
- Process and equipment documentation
- Safety and environmental materials
- Operations, maintenance and technical exchanges
Organizing language around process objects
Energy and chemical documentation often follows units, streams and equipment. Translation should preserve those links across descriptions, drawings and operating files so engineers can identify the object and operating condition behind each statement.
Process descriptions and tags
Use supplied flow diagrams, equipment lists and tagging conventions to compare pump, vessel and stream names. Preserve letters, hyphens and numbers. Descriptive names may clarify a tag but must not replace it. Refer conflicting text and drawings to the process owner with both references.
Operating conditions and parameter limits
Keep design values, normal operating values and test conditions distinct, checking units and qualifiers for pressure, temperature and flow. Preserve blanks, ranges and stated not-applicable markers. Similar table layouts do not justify carrying one equipment value into another or calculating missing data.
Action relationships in HSE text
In health, safety and environment material, check how hazards, triggering conditions, responsible roles and stated responses relate. Preserve negatives, sequence and exceptions. Expand abbreviations using project references without adding safety measures or rules absent from the source.
Connecting technical questions to the relevant revision
Process, instrumentation and equipment teams may revise files simultaneously. Each language decision needs a location and revision reference to prevent mixing documentation from different plant configurations.
Cross-discipline query records
Record the unit, document number, page, source wording and possible meanings, distinguishing process decisions, instrument labels and language questions. Retain the respondent and adopted wording. Keep unresolved abbreviations or operating-condition conflicts visible for specialist review.
Revision scope and referenced files
Identify the revision and drawing list for each batch. When a description cites a new data sheet, inspect translated references to old values. For partial updates, trace effects on contents, cross-references and tag descriptions rather than treating the file timestamp as proof of a fully current set.
Separating training and operating materials
A training script may need more accessible language, but adaptation should be scoped separately from the full technical translation. Approved term explanations and chapter navigation can support training. Summaries must not replace operating procedures or specialist-reviewed site documents.
Establish shared working references
Provide project background, intended readers, source versions, terminology or approved translations, and the process for consolidating the designated specialist reviewer’s comments. Align file identifiers, names, units and change markers across teams and batches.
The language team handles the agreed translation, review and format checks. Technical, medical, financial or legal judgments in the source require the relevant professionals. Questions are documented and resolved rather than silently supplementing source conclusions.
A clear process at every stage
- 01
Define the purpose
Specify files, languages, volume, receiving requirements and timing.
- 02
Agree the plan
Confirm scope, references, review responsibilities, supporting work and delivery.
- 03
Translate and review
Use subject references and check terms, numbers, tables and versions.
- 04
Deliver and coordinate
Deliver the agreed files, consolidate feedback and confirm later updates.
Delivery, price and timing
Price and timing are assessed against language direction, word or page volume, subject matter, source clarity, editability, layout, review and supporting requirements. Changes to the source, languages or supporting work require a revised scope and plan.
Agree Word, PDF, Excel, subtitle or other formats, including any editable files, paper copies, statements or signatures actually needed. Supporting arrangements are defined for the particular purpose and receiving requirements.

Confirm the project details
Can an apparent tag error be corrected directly?
Record the source tag, location and drawing discrepancy for technical confirmation. Similar identifiers may refer to standby equipment or different units, so experience alone is insufficient. Once a revision is supported, update affected text, lists and term records together.
Can an old manual and new unit documents be translated together?
They can share a commission if the applicable units, models and revision status are identified. An old translation is a confirmed reference, not an automatic template for the new unit. State each file basis and missing new attachments to avoid an ambiguous combined manual.
Can safety documents also be rewritten for a destination market?
Translation first preserves the source. For adaptation, supply requirements and revised text confirmed by the responsible specialists and agree a separate scope and review responsibility. Language work does not independently determine product conformity or insert unverified local rules.
