Define the scope first
Connect models, components, parameters and illustrations across product documentation, operation, maintenance and quality materials.
Tell us the target language, purpose, receiving audience and desired timing. Related files for the same matter can share a contact, spellings, terminology and delivery plan; main text, attachments and supplementary records are checked separately.
Writing clearly about products and their operation
Manufacturing documents should help readers find the right model, identify parts and follow actions. Catalogues, installation instructions and quality records have distinct functions beyond sharing terminology.
Models and configurations
Check applicability by family, model, options and software version, separating shared descriptions from model-specific data. Query illustrations showing another configuration while retaining source notes. Similar housings or names do not justify copying installation steps, specifications or accessory lists.
Actions, parts and prompts
Review preparation, action and result checks with their objects, aligning button names, figure numbers and parts lists. Retain relationships to prerequisites and warnings, separating status messages from instructions. Ask technical owners about unclear operations rather than invent product procedures.
Quality records and problem descriptions
Distinguish inspection requirements, observed results, cause analysis and proposed action in quality files. Preserve lot, sample and inspection-date references. A recommended action must not become completed action, and a sample result must not imply conformity of an entire batch.
Integrating translations into product documentation
Product documents change with hardware, firmware and accessories. Link terms, illustrations and revisions so technical writing, support and design teams can maintain their own assets.
Mapping parts and interface labels
Map part names to part numbers, figure labels and models, and retain actual interface wording. Separate brand names from generic descriptions. Where one source word identifies different locations, use drawings to distinguish them rather than force a single misleading term.
Layout and embedded image text
Scope embedded image text, foldouts and packaging explicitly, using position references where needed. Check step numbers, captions and warnings after layout. List any untranslated text in non-editable images; completed body copy does not establish that every visual asset is complete.
Updates and support feedback
Check support terminology against product design and UI before changing it. List updates by chapter and model and trace accessory lists, troubleshooting and training materials. Retain historical applicability so users of old and new equipment do not receive mixed operating information.
Materials and content
Product manuals
Confirm product series, model numbers, applicable versions and technical reference files.
Operations
Keep component names, operating instructions, warnings, captions and interface references aligned.
Quality
Check tables, image references and agreed layout requirements before delivering the required file formats.
Translation and review priorities
- Confirm product series, model numbers, applicable versions and technical reference files.
- Keep component names, operating instructions, warnings, captions and interface references aligned.
- Check tables, image references and agreed layout requirements before delivering the required file formats.
Delivery, price and timing
Price and timing are assessed against language direction, word or page volume, subject matter, source clarity, editability, layout, review and supporting requirements. Changes to the source, languages or supporting work require a revised scope and plan.
Agree Word, PDF, Excel, subtitle or other formats, including any editable files, paper copies, statements or signatures actually needed. Supporting arrangements are defined for the particular purpose and receiving requirements.
A clear process at every stage
- 01
Define the purpose
Specify files, languages, volume, receiving requirements and timing.
- 02
Agree the plan
Confirm scope, references, review responsibilities, supporting work and delivery.
- 03
Translate and review
Use subject references and check terms, numbers, tables and versions.
- 04
Deliver and coordinate
Deliver the agreed files, consolidate feedback and confirm later updates.
What should I prepare?
Provide a clear, complete source and relevant references. Include approved translations, required terms or name spellings where available. Share special receiving formats, statement or signature requirements and other supporting needs for individual confirmation.

Confirm the project details
Can one manual cover every model?
Confirm shared content and differences using a client applicability matrix or technical explanation. Chapters may be shared with clear exceptions or split by model. Translation does not infer compatibility; model-specific data, options and steps must stay visible.
Is text inside product images included?
List image text separately and confirm editable sources and insertion methods. A translation-only table should identify figures and text positions. Flag non-editable or unreadable images explicitly rather than remove labels to make the layout appear finished.
Can an apparently reversed instruction be fixed directly?
Cite the original step and illustration for technical confirmation. Do not change operation order from experience, especially around warnings or prerequisites. Once a source correction is confirmed, apply it to instructions, captions and related training scripts together.
